1. The problem
Estimates go out and nobody follows up on a schedule. The office means to, then the day fills up. Ridgeline wants every open estimate followed up the same way, without anyone keeping a list in their head.
2. What the system does
- Picks up every estimate marked sent in Ridgeline's quoting tool and puts it on one follow-up board.
- Drafts a text on day 2 and an email on day 5, and puts a call task on day 10 on Erin's list.
- Shows which customers opened the estimate and which have not, using the quoting tool's own record.
- Stops an estimate's follow-up as soon as it is marked won or lost.
- Holds every draft until a person at Ridgeline approves it.
3. What it does not do
- It sends nothing on its own. No message goes out without a person's approval.
- It does not answer the phone or hold conversations with customers.
- It does not change prices, estimates or anything else in the quoting tool.
- It does not chase invoices. That is a separate build.
- It does not bring in estimates older than 30 days before go-live.
4. Where it runs, and under whose logins
| Piece | Runs in | Account held by | Runwright's access |
|---|---|---|---|
| Estimates and the opened mark | Ridgeline's quoting tool | Ridgeline | One user seat, removed at handoff |
| Follow-up board and drafts | Ridgeline's workspace | Ridgeline | Admin during the build, removed at handoff |
| Texts | A business texting line | Ridgeline | Admin during the build, removed at handoff |
| Emails | Ridgeline's office mailbox | Ridgeline | None. Drafts wait in the mailbox for a person |
| Draft writing | A model provider account | Ridgeline | A key Ridgeline can turn off |
5. Outside subscriptions
Ridgeline signs up for these and pays the provider directly. Runwright does not resell or mark them up.
| Service | What it is for | About a month |
|---|---|---|
| Business texting line | Sends the day 2 texts once approved | $30example |
| Automation workspace | Runs the board and the timers | $20example |
| Model provider usage | Writes the drafts | $10example |
6. The approval rule
The system drafts. A person sends. Every text and email waits for Erin or Dale to approve it, through the pilot and after. Changing this rule takes a written change signed by Ridgeline.
7. The pilot
Two weeks on Ridgeline's real estimates, every estimate sent Oct 26 to Nov 6. Runwright checks the board each working day and fixes what breaks at no extra charge. The acceptance test below is run at the end of the pilot.
8. What counts as finished: the acceptance test
The build is finished when every line below checks out on Ridgeline's real estimates. Each line is something you can watch happen, not a feeling.
9. Price and payment
| Build fee, fixed | $4,800example |
| Deposit before work starts, half | $2,400example |
| Balance on acceptance | $2,400example |
Example figures for this made-up build. Your price is set on the call, for your build.
10. Who owns it
When the final invoice is paid, Ridgeline owns the setup built for it, the SOP and the record of every setting. It all sits in Ridgeline's own accounts. Runwright keeps its general tools and know-how.
11. After handoff: Care
Optional, month to month, cancel any month. Care covers fixes when an outside service changes and small adjustments. New features are a new scope. Without Care, Ridgeline runs it from the SOP and calls when it wants help.
| Care, month to month | $150 a monthexample |
Sample only. Not for signing.
